Personal Information Protection Policy

We are fully aware of our social obligation to protect all of the personal information that we handle in our personnel development and human resources consulting work, and we adhere to laws and regulations concerning the protection of an individual’s rights and personal information. To realize the following policy, we have built a Personal Information Protection Management System. We constantly watch the latest trends in information technology, changes in social demands, and changes in the business environment, and we pledge to make a companywide effort to continuously improve this personal information protection management system.

In performing our personnel development and human resources consulting work, personal information is obtained, used, or provided to others only to the extent necessary for us to carry out our legitimate business, and to hire employees and manage personnel. We do not handle personal information beyond the scope required to accomplish those purposes.

We comply with laws and regulations that concern personal information, as well as national policy and other norms.

We are constantly improving our personal information security regime. We take reasonable security measures against the risk of leaks, destruction, or loss of personal information, and in order to prevent these things from happening we devote resources in a manner that is consistent with our business circumstances. If an incident were to occur we would promptly devise corrective measures.

We address any complaints or inquiries concerning our handling of personal information in a prompt and sincere manner, as is appropriate.

We are constantly improving the Personal Information Protection Management System by conducting reviews in a timely and appropriate manner as the environment surrounding our company changes.

Along with distributing this policy to all employees and ensuring that it is understood, we will post it at our website so that it is available to anyone at any time.

How personal information is handled

To realize the policy, we have built a Personal Information Protection Management System. We constantly watch the latest trends in information technology, changes in social demands, and changes in the business environment, and we pledge to make a companywide effort to continuously improve this personal information protection management system.

1. Personal information protection administrator

We have appointed the following person as the personal information protection administrator, responsible for administering personal information properly and securely, and for devising measures to prevent unauthorized access to personal information by outside parties as well as the unauthorized use, loss, destruction, alteration, or leaks of personal information. We take measures not to handle personal information beyond the scope required to accomplish those purposes.

2. How personal information is used

(1) Personal information about customers who have requested materials:

  • To provide customers with materials about the products and services that we offer; and
  • To contact customers.

(2) Personal information about our business partners:

  • To contact, cooperate with, negotiate with, fulfill contracts with, and perform obligations to our business partners.

(3) Employee personal information entrusted to us by our business partners:

  • To provide services associated with internal company training, human resources consulting, and seminars as well as the after care.
  • We will handle the personal information entrusted to us to the extent dictated by our business and the outsourcing agreement.

(4) Personal information about persons seeking employment:

  • To contact, provide information, or screen for employment.

(5) Employee personal information:

  • To manage employee work and administer human resources as dictated by our legitimate business operations;
  • To manage occupational safety for our employees (e.g. health assessments pursuant to the Industrial Safety and Health Act);
  • To provide employment benefits;
  • To submit tax information to government agencies; and
  • Otherwise to use the same to the extent necessary for reasonable purposes, such as carrying out our business activities.

When the intended purposes are notified on an individual basis, the information will be used according to those intended purposes. It is up to the individual to decide whether to provide some or all of their personal information to us, but please be aware that if it is not provided we may be unable to provide our services.

Additionally, the personal information subject to disclosure to the individual is that which corresponds with items (1), (2), (4), and (5) above.

3. Personal information provided to, or received from, third parties

Personal information will be provided to, or received from, an outside third party only under the circumstances listed below.

(1) Purposes for providing information to, or receiving information from, a third party:

  • When a contractor provides information via direct mail, email, or other means or performs services on our behalf;
  • When necessary in order for a contractor to provide individual services on our behalf;
  • When individual personal information is collected and analyzed for the purpose of providing statistical information and is put into a
  • form that is not personally identifiable, and that statistical data is disclosed;
  • When required by law or when there is a lawful demand for disclosure from a court or a government agency; and
  • When, for some specific purpose, an individual’s consent has been obtained.

4. Confidentiality agreement with contractors

When we outsource a business activity, in whole or in part, to an outside entity, after carefully selecting the contractor on the condition that they have a control framework that allows them to properly protect personal information, we execute a Personal Information Confidentiality Agreement with the contractor in order to maintain strict control over personal information.

5. Complying with requests from an individual to suspend use or delete

An individual may submit requests regarding the disclosure of their personal information (requests for a notice of intended purposes, a disclosure, a correction/addition/deletion of information; requests to stop use or delete or to stop providing to third parties) to our inquiry desk. In addressing such requests, after verifying that the requestor is the individual in question, we will respond within a reasonable period. Please be aware that we cannot accommodate requests to stop the use of or delete personal information that has been entrusted to us.

6. Procedure for addressing disclosure requests

An individual may submit requests regarding the disclosure of their personal information (requests for a notice of intended purposes, a disclosure, a correction/addition/deletion of information; requests to stop use or delete or to stop providing to third parties) to our inquiry desk. The procedure for addressing such requests is described below.

    • Request for a notice of intended purposes: “Notice of intended purposes for the use of personal information subject to disclosure”
    • Request for a disclosure: “Request to disclose personal information subject to disclosure”
    • Request for a correction/addition/deletion of information; requests to stop use or delete or to stop providing to third parties:
      “Request to correct or stop use of personal information subject to disclosure”

    When requesting disclosure, if delegated to an agent, please make a note to this effect.

  • Method for verifying that the party requesting disclosure is the individual or their agent
    When requesting disclosure, please include the documents listed below.

(1) Document to verify identity

Copy of the portion of any of the following documents a) through d) showing the individual’s name and address:

a) driver’s license, b) passport, c) alien registration card, d) health insurance card plus certificate of residence issued within the last three months.

(2) Disclosure request made by an agent

When a disclosure request is delegated to an agent, in addition to the documents listed in the preceding paragraph (1), please include the documents listed below.

As a document to verify the identity of the agent, a copy of the portion of any of the following documents 1) through 4) showing the individual’s name and address.

1) driver’s license, 2) passport, 3) alien registration card, 4) health insurance card plus certificate of residence issued within the last three months.

Power of attorney

Power of attorney with the individual’s signature. If the agent is a legal representative such as a guardian, in lieu of a power of attorney, please submit a certificate of residence issued within the last three months showing the relationship with the individual.

  • Method for collecting fees when requesting a notice of intended purposes for personal information subject to disclosure or a disclosure of personal information subject to disclosure

    There will be a fee of 1,000 yen (tax included) for each request. Please enclose a fixed value postal money order for 1,000 yen with the submitted documents. The fee associated with the purchase of the fixed value postal money order and the postage will be at the expense of the individual.

    * If the amount sent is less than the fee or if the fee is not enclosed, we will contact you to inform you. However, please be aware that, if the fee is not paid within a set amount of time, we will treat it as if there was no request for disclose or for a notice of intended purposes.

7. When information is obtained through means not readily recognizable by the individual

Cookies make it easier to browse our website when someone visits again. They do not infringe on privacy nor do they have an adverse effect on the computer. All the areas of our website where we have users input personal information use the SSL (Secure Sockets Layer) data encryption system. Additionally we have taken measures to protect the data on our website, such as setting up firewalls. However, please be aware that due to nature of communications via the internet, there is no guarantee of complete security.

About authorized personal information protection organization:

An authorized personal information protection organization is an organization that has been approved by the competent minister pursuant to Article 37 of the Act on the Protection of Personal Information. The purpose of this organization is to process complaints regarding the handling of covered personal information and to ensure that personal information is properly handled when provided to covered businesses.
